Optical Express are looking to recruit an experienced Clinic Assistant to provide administrative and ‘hands on’ clinic support to the local surgery manager and team in accordance with related Optical Express policies and procedures in our Bristol Clinic.

 

Under the direct management of the Surgery Manager, the Clinic Assistant will ensure that the necessary administrative tasks are carried out in preparation for surgeon appointments and surgery appointments. You will also be required to undertake an active patient-facing role on surgeon appointment and surgery lists.

 

Optical Express surgeons have performed over 1 million refractive surgery procedures worldwide. In a recent survey of 252,179 Optical Express patients, over 99% told us they would recommend us to their family and friends. Globally, our ophthalmic surgeons have a combined surgical experience of over 1,000 years practising ophthalmology and over 700 years performing refractive surgery. Every year in the UK, more than double the number of patients trust Optical Express to perform their laser eye surgery than any other provider. In a study completed in September 2014 of 336,381 Optical Express patients with the most common prescriptions we treat, over 99% achieved 20/20 vision or better following treatment.

Key Responsibilities and Accountabilities

Within the role of Clinic Assistant you will be required to undertake the following tasks:
Prepare individual patient files:

  • That are prepared and checked in sufficient time for each scheduled surgeon appointment and surgery appointment
  • That are fully and accurately completed in accordance with OE’s record keeping policy
  • That contain all the necessary information required for the appointments
  • Which include details of the patient’s immediate post-operative appointments
  • Following training and competency assessment, the RA will be able to access patient’s electronic medical files and enter accurate and timely information
  • Maintain patient files securely and undertake archiving activities

Collate information and provide to the local SM with files that contain:

  • The outcome of any actions indicated as necessary by the examining optometrist and/or surgeon such as GP / specialist letters / results of further tests
  • IOL lens implant ordering and lens bank management
  • Be responsible for the ordering and checking of special order lens implants
  • Be able to use the systems and calculate lenses
  • Liaise with suppliers and colleagues to ensure that lenses are available for planned surgery
  • Maintain the clinic’s lens banks

Carry out Patient Payment checks:

  • Ensure that each patient has made a full payment of their surgery fee in accordance with OE’s payment policy
  • Take any necessary corrective action to ensure that fees have been collected
  • Following training and competency assessment, the RA will undertake an active hands on role; diagnostic pre-treatment testing, specifically the acquisition of refractive data
  • Following training and competency assessment, the RA will assist with providing patients with post-operative information
  • Administrative support to the surgeon during patient examinations
  • Under the supervision of the Manager, ensuring appointment scheduling is efficient
  • Any Additional Projects

Minimum Requirements

Essential Skills:

  • Background in health care preferred
  • Background in customer care advantageous
  • Good level of literacy and numeracy
  • Background in optics advantageous
  • Computer literate, able to use Microsoft Office/Open Office
  • Attention to detail and importance of adhering to agreed standards
  • Methodical approach
  • Effective communication skills
  • Excellent customer care skills
  • Excellent administrative and organisational skills

The role necessarily involves the creation, handling, storage, destruction and dissemination of highly confidential information. The carrying out of such tasks is subject to compliance with numerous laws. The successful candidate will be expected to sign a confidentiality agreement and work in accordance with the associated legislation.
